Introduction

Have a presentation with lots of detailed and complex informative images? One way to present the long descriptions within the same PowerPoint file is to create an appendix section and then link to and from these slides.

Be sure to continue to follow best practices for the visual aspects of the description slides as well as for authoring text descriptions for images. Descriptions should be clear, concise, and unbiased. No context or other information not visual in the image should be included in descriptions.

Instructions

Add an Appendix Section:

  1. Right-click/alt-click in the Slides Pane (the leftmost pane with all the slide thumbnails), then select Add Section from the context menu. Or, in the Home tab in the Slides group, select the Section
  2. Type the name you would like for the description slides section (such as 鈥淎ppendix鈥 or 鈥淟ong Descriptions鈥 into the popup box, then select OK.
  3. Your PowerPoint now contains two sections for slides, 鈥淒efault Section鈥 and the new section you just created.
  4. To rename a section, select the section name (clicking on it), right-click/alt-click on the name, then select Rename Section.

Link to other Slides:

  1. If needed, add a text box near the image for the link text.
    1. Insert tab, Text group, select Text Box.
  2. After typing the link text, select all of the link text.
  3. To insert a link, either right-click/alt-click the selected text then select Link from the context menu, or go to the Insert tab, Links group, and select Link.
  4. In the Insert Hyperlink popup box, select Place in This Document in the Link to: section.
  5. Select the appropriate slide in the left box (Select a place in this document).
  6. Select OK.
  7. Ensure that there is also a link on the description slide to link back to the slide in the lecture (for example, using link text such as 鈥淩eturn to lecture slide #.鈥

Hide Description Slides

Hidden slides in PowerPoint will not show up in Slide Show view but are still included in the same presentation, so hiding the appendix slides helps keep the flow smooth when presenting live.

  1. In the left navigation pane, select the thumbnail image of the slide you want to hide.
  2. Right-click the slide, then select聽Hide Slide. The slide now shows a slash through the slide number to indicate that it’s hidden.
