April Update: Workday Student Project

Welcome to the April edition of the Window on Workday newsletter, a trusted companion guide to 海角社区’s journey toward Workday Student, shaping the future of registration, financial aid, advising, academic records, and the student experience.

In this issue, you鈥檒l find an overview of where the project stands today, key milestones coming up, and insight into how we鈥檙e supporting the campus through this transition. You鈥檒l also learn about our change management and training approach, along with opportunities to get involved as Workday Student continues to take shape. Our goal is to keep the entire campus community informed, engaged, and supported throughout the project.

Overall Project Status鈥

This phase includes the setup of academic structures, registration and grading rules, advising tools, financial aid processes, and other core functions that support the student experience.

While system configurations continue, we are also mapping which processes will change, when those changes will be introduced, and who will be affected. This helps ensure that training, communication, and support resources are aligned with how users will experience the transition.

Anchored in our commitment to leveraging Workday鈥檚 full capability, the team鈥攚orking in collaboration with campus stakeholders鈥攊s shaping features that reimagine how students connect with staff, receive academic support, and experience ongoing engagement across their 海角社区 journey. We look forward to sharing more as this work continues to take shape over the coming months.

Our next major milestone is system testing, beginning in June and continuing into the fall. This phase will focus on verifying end鈥憈o鈥慹nd processes, identifying areas that need refinement, and confirming that the system functions effectively for students, faculty, and staff.

Phased Transition Approach

How Our Phased Implementation Will Look

These next steps ensure our phased transition from Banner to Workday Student, beginning in early 2027, is smooth. When we say 鈥減hased transition,鈥 we mean that we will continue using Banner for core processes during the Spring and Summer 2027 academic terms. This includes existing course schedules, student accounts, 2026鈥2027 financial aid administration, and grading.

We will begin opening Workday Student functionality in January to prepare for the Fall 2027 implementation. This work includes creating the Fall 2027 course schedule, allowing students to view and accept financial aid packages for the 2027鈥2028 aid year starting in March, and supporting student registration for Fall 2027 courses in Workday beginning in April.

Here鈥檚 what the phased implementation will look like for the first few months of 2027:

  • January 2027: Schools and colleges begin building the Fall 2027 course schedule in Workday.
  • March 2027: Students view and accept financial aid packages for the 2027鈥2028 aid year.
  • April 2027: Fall 2027 courses become visible to students in Workday.
  • April 2027: Students begin registering for Fall 2027 courses in Workday.

We’re in the process of mapping the student lifecycle aligned with our phased rollout. We’ll be able to share more details as they become available over the next few months.

Change is Growth

We believe that a successful transition to Workday Student begins with a . This idea is shaping how we approach communication, training, and the support we provide to students, faculty, and staff throughout the project.

A growth mindset, based on the research of Carol Dweck, is the belief that abilities can develop through dedication, effort, and learning. As we prepare for new tools and improved processes, we encourage the 海角社区 community to stay curious, embrace learning, and view this transition as an opportunity to grow.

Approach to Learning and Leveraging Workday Student

Building on that growth mindset, the change management and training team is leveraging the systems-design approach to help the 海角社区 community prepare for Workday Student. This approach is built around several key concepts that guide our readiness efforts:

  • Explore. Understand what users need and what will change. Develop early awareness resources and gather input.
  • Design. Co鈥慶reate training paths with faculty, staff, and students. Align content with real tasks and project milestones.
  • Build. Develop and deliver training in multiple formats, leveraging existing methodologies, timed to tasks and milestones.
  • Refine. Listen, learn, and improve. Update resources based on feedback and evolving needs.

We are currently in Explore 鈥 understanding what is changing and how to prepare students, faculty, and staff to use the new system. Our approach to delivering training is to align training with when an activity or task needs to be completed within Workday, prioritizing areas aligned to key milestones for early 2027. We anticipate starting training in Fall 2026 to prioritized groups. Dates and details for training sessions will be communicated at least 30 days’ advanced notice.

Helping You Get Ready for Workday Student

Building Awareness and Readiness Across Campus

Building on the readiness approach and learning framework described above, we are already creating opportunities for the campus community to learn about Workday Student and how it will enhance the student experience, even though the launch is still some time away.

Several engagement and readiness activities will be offered this spring. Keep an eye on the for upcoming dates.

We are also building a Workday Changemaker Network, a group of campus representatives who will provide input, share updates, gather feedback, and help their peers prepare for the new system.
